Visitor Center Receptionist (VCR) - Seasonal

STATUS:

SEASONAL (May - October), fixed/full time or two (2) part time, non-supervisory positions with max. estimated 32 hours per week paid on an hourly basis. Reports to Executive Director. Up to $15/hr DOE.

SCHEDULE OPTIONS:

  • Fixed, up to 32 hrs/week Thursday - Monday; or

  • Part-time, 21-24 hrs/week. Two positions are considered:

    • (A) Three (3) days: Sunday - Tuesday; or

    • (B) Three (3) days: Thursday - Saturday.

PAY:

Up to $15/hr DOE

SUMMARY:

The primary role of the Visitor Center Receptionist (VCR) is to provide the ideal visitor experience to each person with whom the VCR has the opportunity to interact. The VCR must possess a sincere interest in visitors – placing them first and ensuring they have a positive experience - in person, on the phone or through written communications.

EXAMPLES OF ESSENTIAL DUTIES:

1. Visitors

  • Deliver visitor service with patience, enthusiasm and poise when interacting with guests to positively represent the Chamber and City of Lanesboro;

  • Actively seek information when answers are not readily available, including utilizing the internet, making phone calls, or asking other staff;

  • Respond to emails and answer the phone in an efficient and effective manner;

  • Resolve any visitor or other issues promptly and professionally. Involve management when necessary;

  • Invite each visitor to sign guestbook;

  • Proactively assist visitors to understand and operate LACC Digital Travel Guide (“What's APPening in Lanesboro” App - lacc.mn/app);

  • Maintain an accurate count of daily visitors;

  • Assist visitors in finding lodging options through the consolidated calendar on lanesboro.com.

2. Processes and Procedures

  • Operate and understand telephone systems, be able to answer and forward calls, and place callers on hold. VCR should practice proactive visitor service and professional telephone etiquette. Take complete messages for other staff members;

  • Process and keep records of all mailing, shipping, delivery and distribution of the promotional and informational materials;

  • Remain up-to-date on all Standard Operating Procedures.

3. Additional Duties

  • When visitors are not present, VCR will straighten and fill merchandise, maintain bulletin boards, assist with receiving inventory, dust shelves, clean counters, empty recycling and straighten back rooms, and vacuum. VCR will request additional duties when these are complete;

  • Offer suggestions for improvements in processes and procedures.

4. On-the-Job Expectations

  • Remain up-to-date on events and attractions throughout the Lanesboro area. When visitors are not present and other duties are finished, review the newspaper and/or internet for local happenings, explore the local menus, and read brochures;

  • Be familiar with digital systems currently used by the Chamber, including websites and applications;

  • Keep up-to-date with local maps, routes, directories, websites and DNR announcements to better inform visitors;

  • Attend all scheduled staff meetings.

5. Other

  • Set a positive example for other team members through adherence to all policies and maintain a high standard of behavior, including speech, actions, and dress;

  • Perform tasks as directed by the management.

TYPICAL QUALIFICATIONS:

Critical Knowledge, Skills, and Abilities:

  • Have a working knowledge of key visitor attractions in Lanesboro area and Bluff Country with ability and desire to learn more;

  • Ability to effectively present information and respond to questions from the public;

  • Basic computer literacy and proficient with data entry;

  • Strong interpersonal skills, maturity, and judgment;

  • Ability to work collaboratively in a team environment;

  • Understand customer service practices - a sincere interest in guests, placing them first and striving to ensure a positive experience;

  • Ability to remain calm under pressure and resolve challenges.

Education/Experience Requirements:

  • Visitor/customer services and/or non-profit organization experience a plus;

  • Strong attention to detail and above average organizational skills and experience;

  • Must show strong initiative and have a positive, upbeat attitude.
